This notice explains how Globe Cambridge School (“GCS”, “we”, “us”) handles personal information submitted by parents and guardians through admissions inquiries and applications, including Meta Instant Forms.
Information we collect
When a parent or guardian submits an admissions inquiry or application, including through a Meta Instant Form, GCS may collect:
- the parent or guardian’s name, email address and phone number;
- the child’s current grade and the grade being requested;
- postal code and current school type;
- the family’s reason for considering a new school;
- whether the family would consider enrolling and is available for an admissions consultation or school tour; and
- communications and admissions notes created during follow-up.
Our initial Meta application form does not ask for the child’s name, date of birth, health information, government identification or financial information.
How we use the information
GCS uses the information to:
- review the inquiry or application and determine whether the requested program or opportunity may be suitable;
- contact the parent or guardian about admissions, eligibility, next steps, consultations and school tours;
- maintain admissions records and improve our admissions process;
- protect the integrity and security of our application process; and
- meet legal, regulatory and administrative requirements.
Submitting an application does not guarantee admission or a full-tuition placement.
Consent and choices
By submitting an inquiry or application, the parent or guardian consents to GCS collecting, using and disclosing the information for the purposes described here. Consent may be withdrawn by contacting GCS, subject to legal or contractual limits and reasonable notice. Withdrawal may prevent GCS from continuing to assess or respond to the application.
When information is shared
Access is limited to authorized GCS personnel and service providers who need the information for admissions or related administration. Information may also be disclosed when required or permitted by law. GCS does not sell or rent admissions information. Meta provides the Instant Form platform and processes information under its own terms and privacy practices. Other service providers may host or process information for GCS, including outside Canada, where it may be subject to the laws of that jurisdiction.
Retention and safeguards
GCS keeps personal information only for as long as reasonably needed for the admissions purpose, follow-up, recordkeeping and applicable legal requirements. When it is no longer required, GCS will delete, destroy or anonymize it as appropriate. GCS uses reasonable administrative, technical and physical safeguards suited to the sensitivity of the information.
Access, correction and privacy questions
A parent or guardian may ask to access or correct personal information held by GCS, or raise a question or concern about GCS privacy practices. GCS may need to verify the requester’s identity before responding.
